How we work, and where we stop

Scope and fee in writing

Deliverables, schedule and price are confirmed in writing before any work is charged. Anything outside the agreed scope is treated as a separate item, agreed in writing, and is not added to the file until you approve it.

Findings recorded as they were seen

A report records the date and place of the visit, the quantity sampled, every checkpoint with its result, and the photographs taken. Units that were not sampled are not presented as seen. Where a conclusion rests on something we could not check, the report says so in those words.

Three entities, three checks

The company that signs the contract, the company that receives the deposit and the company named as shipper are frequently three different entities. We ask for all three in writing, compare them, and report where they diverge. A divergence is not proof of anything on its own, but it decides what the next question should be.

Limits stated before work starts

We prepare and check documents; we do not sign a declaration on your behalf, and the decision on an entry rests with the customs office that receives it. We do not certify goods against any standard and we do not confirm that a shipment meets the rules of its destination. Duties and taxes depend on the classification and origin rules that apply to your goods. Transit times quoted from a carrier are that carrier's estimates.

Confidentiality

Specifications, quotations and supplier names are used for the order you placed. They are not passed to another buyer, and they are not used to approach your supplier on our own account.

Declining work

Where an engagement is declined, the reason is given in writing: goods that cannot be described well enough to work on, a document the file depends on that cannot be obtained, or a date that cannot honestly be met.

Questions about the working rules

Do you guarantee that the goods will clear customs?

No, and nobody who is not the customs office can. We prepare and check the document set so that it is internally consistent and matches the goods. The decision on the entry, the duty and any inspection at the border rests with the authority that receives it.

Can you inspect without telling the supplier?

An inspection is a visit at a factory or warehouse, so the site knows someone is there. What we do control is who receives the report: the findings go to you, and we do not send them to the supplier unless you ask us to.

What if the inspection finds nothing wrong?

Then the report says that, with the checkpoints, the quantities and the photographs behind it. A clean result is still a record you can use if the goods arrive in a different condition.

Do you work with our existing forwarder?

Yes. Consolidation and documentation can be prepared for a carrier you nominate. The loading record and the document set are handed over the same way.
